Event day: check-in, box office and food counter
The three door-and-counter screens your volunteers use, and the live dashboard.
Check-in (the door)
Every paid order gets ONE QR code by email that admits everyone on it (a family of 4 = one scan). At the door, volunteers open Check-in on their own phones — several can scan in parallel.
Scan the QR with the camera, or type the short entry code printed under it (the fallback for dead phones). Green = admitted, with the buyer’s name and guest list; red = already used, wrong event, or not paid.
A wrong admit can be undone by the same volunteer (Undo). Duplicates are refused automatically — nobody enters twice on one order.
If the door also hands items out (wristbands with food, for example), a volunteer WITH the kitchen role sees a switch “Hand over food at check-in”: one scan then admits AND delivers every item of the order.
Box office (walk-in sales)
The Sell screen is a tap-friendly point of sale for people buying AT the event: pick products, take cash or card (on your own machine), record the sale. It lands in the same reports as online sales, marked as counter.
Box-office sales are not limited by the online sales window — the door can always sell on the day.
Food counter (redemption)
Non-ticket items (food, drinks, anything collected later) are redeemed at the counter: the buyer shows the SAME QR, the kitchen scans it and sees the outstanding items — “2× pastel, 1× drink, not collected yet” — and taps deliver.
Deliveries are duplicate-proof: once handed over, the same QR cannot collect the same item again, even with two counters scanning at once. Partial delivery works (deliver 1 of 2 now, the rest later).
The live dashboard
From 3 hours before doors until the end, the dashboard turns into event-day mode: “X of Y inside” updating every 30 seconds, door pace per half hour, and counter delivery progress per product. Prop a phone up and watch the night unfold.
Afterwards it becomes the final report: attendance, no-shows (online buyers who never came — counter buyers count as present automatically) and delivery totals.
